Complete Guest Logistics & Gift Coordination Checklist
I use a simple principle when helping families: every moving piece needs an owner, a deadline and a written answer. Use these checkpoints to coordinate rooms, arrivals, outfits and gifts without losing decisions in separate family chats.
By Mini Patel · Planning guidance, not a supplier commitment.
Build one family guest list
- Assign a household ID, guest count, home city, preferred departure airport and RSVP owner.
- Record each family's room needs and intended dates; keep passport numbers and payment details out of shared trackers.
- Ask guests privately about accessibility and dietary requirements; share only necessary details with the responsible vendor.
- Separate invited, confirmed, room-booked and travel-booked statuses. Name one person who follows up.
Agree the room-block terms
- Get the room category, occupancy basis, taxes, minimum stay and payment currency in writing.
- Mark deposit, final payment, booking cut-off and cancellation deadlines in one calendar.
- Confirm pickup, attrition, unused inventory and how individually booked rooms count toward concessions.
- Ask exactly which earned rooms or credits apply, who receives them, and whether guest transfers or event access cost extra.
- Identify who handles guest booking changes and after-hours travel problems. Planning support and supplier booking are separate scopes.
Coordinate arrivals and celebration days
- Group arrival windows and assign a transfer contact; check luggage capacity and accessible vehicle requests.
- Share an itinerary with local times, meeting points, attire, contact names and weather plans.
- Name an owner for elder assistance, family photographs and moving guests between events.
- Confirm baraat route and sound permissions, ceremony timing with the pandit, and event-space access in the written proposal.
- Distinguish vegetarian, Jain and satvik requirements with the catering team; confirm what they can deliver in writing.
Coordinate outfits across countries
- Create a person-by-event outfit matrix with size, colour, budget, measurements and shipping destination.
- Choose readymade or custom-made for each person. Approve reference photos, fabric and the exact scope before payment.
- Use one measurement method and an owner for missing measurements. Include shoe, dupatta and accessory needs.
- Check progress, approve finished-piece photos or video, and allow time for local alterations.
- Confirm production, shipping, customs and delivery buffers individually; a wedding date is not a delivery guarantee.
Plan gifts and welcome bags
- Separate household gifts, gift sarees, wedding-party gifts, welcome bags and ceremonial items.
- Set an all-in allowance per recipient including packing, delivery and any import costs.
- Record recipient, quantity, approved item, source, purchase status and delivery owner.
- Use a sample before bulk purchase; check personalisation spelling and avoid fragile or restricted items without checking the carrier's rules.
- Confirm resort receiving, storage and room-delivery charges. Assign a handover count and keep spare bags separate.
Close the loop before departure
- Reconcile the room list, transfer list, event attendance and gift distribution totals.
- Send a final guest note with local contacts and what is included versus paid separately.
- Keep supplier confirmations and changes together; assign the decision-maker for urgent issues.
- Build a backup plan for delayed bags, missing outfits and weather changes.
- After the wedding, reconcile earned concessions, unclaimed gifts and outstanding balances against the contract.
